Overview

Nuvolo’s Space & Workplace Core package is designed to deliver a streamlined, best-practice approach to space and workplace management by harnessing a carefully selected subset of its robust standard features and functionalities. This core solution is tailored to align with proven industry standards, enabling organizations to efficiently manage their space utilization, optimize workplace environments, and improve operational workflows. By focusing on essential capabilities, the package supports compliance, enhances space efficiency, and fosters the adoption of industry-accepted methods, ensuring users benefit from both efficiency and consistency. With Nuvolo’s Space & Workplace Core package, businesses can implement effective space strategies that meet evolving operational needs while leveraging trusted best practices in the field.

Pre-Requisites

  • A fully configured ServiceNow instance.
  • Drawings prepared following Nuvolo drawing standards
  • The Nuvolo Location Hierarchy is a shared hierarchal structure that is utilized across all products in Nuvolo

Core Approach & Scope

Initiation

Nuvolo’s Core Package utilizes a standardized implementation approach structured to ensure clarity, efficiency, and consistency throughout the project lifecycle. The initiation phase centers on setting expectations by reviewing the established scope of work, confirming deliverables, assigning roles, and detailing the implementation steps as outlined in the Order Form. Given the pre-defined scope of work, planning concentrates on organizing tasks according to the established methodology, setting specific milestones, and assigning resources to effectively support each phase of the project, which is expected to take fifteen (15) weeks from project kickoff to production launch.

Implementation

Nuvolo will conduct a series of interactive workshops designed to guide you through the Nuvolo functionality delivered within the pre-defined scope of work. During these sessions, Nuvolo will review relevant user stories and seek Customer input to ensure the application is configured in alignment with your organization’s naming conventions and minor business requirements. This collaborative approach helps tailor the solution to your operational needs while adhering to best practices.

The following topics are covered as part of the Space & Workplace Core Package:

  • Access Enablement – Assign Users to groups based on pre-defined standard personas to align with industry roles.
  • Organizational Space Hierarchy – The Nuvolo Location Hierarchy is a shared hierarchal structure that is utilized across all products in Nuvolo to deliver relational data used for processes and reporting.
  • Space Management – The Nuvolo Product that centralizes and visualizes real-time space data on interactive floor plans to help organizations plan, optimize, reserve, and manage workplace spaces efficiently while improving utilization and the employee experience
  • Move Management – helps organizations plan, coordinate, and execute workplace moves of any size by centralizing space data, move requests, project planning, and work order workflows on a single platform to ensure smooth, accurate and well-coordinated move execution.
  • Reservation Management – enables employees and visitors to easily find, reserve and manage desks, rooms, and shared spaces through real-time availability to support flexible and efficient workplace use.
  • Reporting, Portals & Dashboards – Configure the standard Nuvolo Portal with Customer logo and color schema, set up persona-based dashboards using standard reporting configuration options.

Nuvolo’s Core Package provides Standard Data Templates designed to facilitate the efficient collection of Customer data necessary for system migration. As part of the transition, all asset records and up to three years of historical data will be migrated from the Customer’s legacy system into the Nuvolo platform.

Two (2) weeks of User Acceptance Testing (UAT) are included during which key stakeholders and selected users rigorously test the system to validate functionality, data integrity, workflows, and business rules. Feedback collected during UAT allows for the identification and resolution of any issues prior to system launch. Any new requirements that may be identified are placed in a backlog for post-implementation enhancement considerations.

Closure

Following successful validation, Nuvolo offers end-user training using a “Train the Trainer” model to empower customer teams to take ownership of internal learning and drive long-term adoption. Customers have two options available via a separate Order Form to support Training:

  1. Express Onboarding: Includes eLearning sessions available via Nuvolo Navigator for up to ten (10) learners and two Office Hours sessions with an expert trainer to address questions and provide clarification.  This level of training is suggested for existing ServiceNow and/or Nuvolo users with established administrators supporting the application.
  2. Core Training: Includes eLearning sessions available via Nuvolo Navigator for up to ten (10) learners and Persona-based instructor-led virtual training sessions to support a more hands-on approach for application adoption.

This approach ensures that the Customer’s training team is fully prepared to support and educate their organization, driving user adoption and maximizing the value delivered by the Nuvolo solution. To further reinforce successful adoption, Nuvolo’s project team provides an additional week of hypercare support following the production go-live, offering dedicated assistance to address any post-launch issues and ensure a smooth transition for end users.
